Continuing Education – Speakers and Sponsors

CE Chairperson: The President is responsible for selecting a member to serve as the CEChairperson. The President will work with the CE Chairperson to design a CE program for the winter meeting according to the Rules & Regulations (Section 21).

CE / Sponsorship Committee: The CE / Sponsorship Committee shall be composed of the President, his/her CE Chairperson, and at least two additional members selected by the President. A President may choose to ask members from previous years to stay on his/her Committee for some continuity. The duties of this committee are to procure speakers and sponsors for the Winter Meeting. The Executive Secretary shall serve in an advisory capacity.

CE Chairperson Manual (see attached): Please refer to this manual for details of how CE is arranged and run for the week. In general, a morning and evening session on Monday through Friday will be provided.

Speakers: The maximum number of speakers is currently five, each giving a morning and afternoon session on their topic. This can be flexible according to the CE overall plan. At least one speaker should be on a large animal topic. Speakers should be committed at least by the preceding winter meeting so the names of the speakers can be announced a year in advance.

RACE Certification: The CE Chairperson will provide the Executive Secretary with the necessary speaker resumes to send to RACE for certification.

Speaker Syllabus Notes: The CE Chairperson will work with the Executive Secretary to get notes from each speaker in a timely manner (usually by December 1st) to allow the Executive Secretary adequate time to prepare the syllabus.

Compensation for Speakers: An individual speaker’s compensation will be prorated according to the number of sessions he/she presents. The current compensation package for a speaker presenting one day of lectures is:

  1. Complimentary registration fees to attend all SVMA functions
  2. Two nights lodging
  3. A one day ski lift ticket
  4. It is the President’s responsibility to determine if an honorarium will be given to his/her speakers

Speaker Hotel & Travel Arrangements: It is the responsibility of the President of a given year, working with his/her CE Chairperson, to include appropriate room arrangements for his/her speakers in the SVMA budget and the hotel/resort contracts at the earliest possible time. It is also the responsibility of the President to determine what travel will be provided to the speakers of his/her President’s year. (See Rules & Regulations, Section 21, Part 9)

Corporate Sponsorships: Try to have sponsorships lined up about one year in advance. That is how far out corporations are budgeting. Attached is a form solicitation letter outlining sponsorship levels that can be edited for each individual year to send out to possible corporate sponsors. The more sponsorships the better.

Sponsorship Initial Contacts (see attached solicitation letter): The President and the CE Chairperson should contact and send potential corporate sponsors the SVMA sponsorship solicitation letter (see attached in this section) and sponsorship level information at least one year in advance.

Sponsorship Final Commitments (see attached contract): All efforts should be made to have corporate sponsorship commitments finalized at least six months before the winter meeting to help the President with his/her meeting budget planning to set appropriate CE registration fees. A copy of a sponsorship contract is attached to this section. A President and CE chairperson can change the levels of sponsorship to fit their needs. This example worked well for us at Crested Butte.

Sponsorship Collection of Money (see attached thank you letter): Corporate sponsors should have their committed funds sent to the Executive Secretary no later than one month before the winter meeting to which those funds apply.

Area Veterinarian Attendance: Remember that area veterinarians can attend the CE meetings for free. It is the President’s responsibility to inquire about local veterinarians and notify them of the SVMA winter meeting in their area.

The Sierra Veterinary Medical Association is seeking sponsorships for its February 2009 winter ski meeting being held in Crested Butte, Colorado. This association is 49 years old with members from around the country. Most members are practice owners and/or board certified veterinary specialists. Therefore, the continuing education presented is at a higher level than smaller veterinary association offerings. All SVMA CE offerings are RACE certified. CE presentations are given from 7 – 9 AM and 4 – 6 PM Monday through Friday, with plenty of time to ski in between. We have five speakers each year.

 

The SVMA is a family oriented association. Children and grandchildren have grown up with this group. One family has its third generation veterinarian member in the making in vet school at CSU now. Members have become close personal friends over the years. Every few years the group meets at a European, and one time Chilean, ski resort for its meeting. A trip to Andorra is planned for 2010, so there are distinct advantages to sponsorship. We hope some of you may enjoy the uniqueness of this association enough to help sponsor our CE programs yearly. Your families are welcome to join you for the week of fun and skiing surrounding this meeting.

 

We offer four levels of sponsorship. All levels of sponsorship include a booth in the CE room to display your products, and ready access to all veterinarians. You will have an opportunity to give a formal presentation to the veterinarians at one of the CE sessions. You will also be able to reserve hotel rooms at our discounted group rate, which is exceptionally good for the Crested Butte meeting. We hope at least one representative of your company will join us. If a representative can not be present, our CE chairperson can set up your booth if product information is sent to us. We want all sponsors to have a very visible presence at our meetings. We greatly appreciate all levels of sponsorship.
